Administrative Assistant (Logistics)
Chloeta is recruiting to fill one (1) Administrative Assistant position at our South Central Operations Center (SCOC) located in Jay, Oklahoma. Chloeta exhibits Native American preference in hiring and is a drug free workplace.
High School Diploma or equivalent
Background check and drug test required
Proficient with technology including, but not limited to: email, web-based databases, printing, scanning, etc.
Highly reliable and able to function with limited oversight in a fast-paced environment
Three (3) years or more related employment experience
Be a U.S. Citizen.
Associate’s or Bachelor’s degree in related field
Represent Chloeta professionally at times
Performs administrative and office support activities to support field operations regionally and nationally
Fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations and filing (digitally)
Provides critical logistical support information to operations supervisors and makes recommendations concerning the efficient uses of available resources
Maintains resource status and tracking systems and operates telecommunications systems
Assists in providing critical logistical support information to supervisor.
Records and maintains communication logs as needed
Provide administrative support to base personnel
Arranges meetings, screens calls, manages calendars, distributes mail, types reports, correspondence, meeting minutes and maintains digital filing system
Ensures communications are accurate, professional and complete
Coordinate day-to-day administrative support and external outreach activities
Organize records/documents for use in recruitment/outreach processes, reports and presentations
Use desktop software, copiers, printers, fax
Build spreadsheets, correspondence, reports, etc.
Support the work of other employees and will contribute to the overall activities of the organization
Answer requests from and provide advice to employees, supervisors, regarding administrative processes
Train staff to enter time and attendance data and assist with difficult time entry issues
Conduct the word processing of documents
Collect and organize materials from several sources to support work projects
Develop charts and tables for reports and briefings
Interact with internal staff, typically in more than one organizational unit, to share information or discuss status of tasks/assignments
Participate in teleconference calls and video teleconference calls routinely to share information with peers and supervisors
Work closely with the Executive Assistant and Operations personnel to complete hiring documentation and onboard new entry-level employees
Create and update incident experience records for responders under supervision of Training Coordinator
Review and approve time and attendance records digitally, including conducting random audits
Maintain databases of inventory of items in national Chloeta cache system
Serve as cache manager responsible for ordering supplies and checking in/out of equipment to employees under the supervision of the Logistics Chief
Manages inventory across all warehouses nationally in support of Logistics.
Compensation and Work Schedule
Compensation is commensurate with experience, education and capability
